After you receive a new ElderFIT client request, you have 3 actions you can take: Confirm, Reschedule or Decline. Those 3 action buttons are found on every new client request screen. Here are our top tips to help trainers move forward on a new client.
1. When & how to decline a session request
There are reasons why you might want to "Decline" an ElderFIT client request. For example, if the drive time to the client's residence is over 25 minutes one-way, or if you don't have time to take on a new client at the moment. To decline a client, we ask that you PLEASE use our Chat to let them know you can’t and also wish them the best of luck. Remind them there are other ElderFIT trainers standing by to help!
Note: Please do not decline a session if you plan to ask the client to move the visit to a different date & time. Use "Reschedule" for that.
2. How to decline a session request
If you can’t work with the customer either because of driving distance or another reason, PLEASE use our Chat to let them know you can’t and also wish them the best of luck. Remind them there are other ElderFIT trainers standing by to help!
3. How to accept a session
If you can work with the customer then hit Confirm then use Chat to iron out the details —> is there a place in their home for you both to do the intake and fitness assessment, does the client live in a Senior community with a gate or entry code.?
4. When & how to reschedule (change) a session date
If you are busy on the date the client requested, that's okay. You can ask the client in Chat if they can move the session to a date/time that works for both of you. Once you know that new date/time, hit the "Reschedule" to drop down the calendar and pick the agreed-upon date/time, then enter submit. That will reschedule the session. The client will receive a text and email notification of the change.
5. When and how to scheduling follow-up sessions
ElderFIT encourages trainers to schedule all future client sessions on behalf of our clients. The day of your initial intake visit, please get agreement with the senior on session dates/times for the next 2 weeks that work for you both. Booking 2 weeks in advance allows trainers to better manage their calendars and helps clients establish a consistent workout routine. To start scheduling sessions, make sure to open the client profile on your trainer Activity dashboard. Click the "Schedule" menu option to bring up the booking calendar you now share with the client. Pick the first date/time and submit. Then pick the next date/time on the calendar and submit. Repeat the scheduling process until your agreed-upon sessions have all been successfully submitted and booked.
